Keap Email Builder

In 2021, Keap launched a new Email Builder. There were a few limitations in this early release, but I’m pleased to say that all limitations have been lifted and I recommend using this new builder (and stop using the legacy email builders).

The new email builder is available by default when setting up a new broadcast email. Click on Comms in the menu on the left hand save, and then click Email Broadcasts.

It is also available when adding an email to a sequence in Advanced Automation sequences.


What’s new in the new email builder?

When first released, you could not apply tags to a contact record upon the contact clicking a link (a button or other URL inserted into your email). This feature has now been added.

Applying a tag to a button or a link in your emails allows you to:

  • track contact behaviour (record anyone who clicks that link and perhaps follow up with them personally); and/or
  • trigger another action, such as another email, or a task to be performed (e.g. call the contact)

The new Email Builder offers much more functionality to refine the layout of your emails.

If you have experience with a website builder like WordPress or Wix, or another email marketing platform such as Mailchimp, you will pick this one up pretty quickly.

Choose from a Keap Email Template and then start modifying it, or start from scratch.

Keap Custom Fields & Tags

Keap allows us to configure up to 100 Custom Fields on contact records, plus (almost) unlimited Tags.

Custom Fields and Tags are two ways to segment your contact list. They can be used in filters and contact groups to select contacts, send email broadcasts and other actions.

They are therefore a focus for us in our initial Keap CRM design and configuration sessions.

Custom Fields can be a variety of fields types – text, text area, numerical, dropdown, yes/no, and many more. Click here to view all the custom field types.

They are typically set once but can be maintained manually as needed.

More importantly, they can be inserted into web forms and landing pages (ie. survey forms) built within Keap to collect important data from your contacts automatically.

For Prism subscribers, up to six custom fields can also be synchronised with Prism and therefore available on Prism Owner Profiles – in addition to the standard contact fields (name, address, phone, email, spouse, nett ownership score, owner user ID).

Tags can be whatever you require them to be, and are typically more ‘dynamic’ – you can add and delete often and use them for specific promotional campaigns or activities.

Tags can ‘trigger’ something to happen, such as sending an email to your contact, sending an email to a colleague, assigning an internal task, updating a custom field, and much more.

We will configure some typical custom fields and tags in your new Keap App, ready for your review.

Custom fields and tags are flexible, so don’t worry about getting them absolutely right the first time. We can just start with the basics and add/modify as needed.

Enable Keap outbound emails

There is an important action that is needed to ensure reliability of outbound emails to your contacts, via Keap, from your email address(es).

Records need to be added to your Domain Name Settings (DNS) so Keap can reliably send emails from any email address on your domain.

Specifically, there are three types of records required:

  • DKIM
  • SPF
  • DMARC

We will email you instructions as part of your Keap training. Specifically, these instructions will show you how to add DKIM, SPF and DMARC records to your DNS. A bit technical, but with our help, it’s not a big job.

What is DKIM?

DKIM (Domain Keys Identified Mail) is a complex email protocol that allows the email receiver to check that an email was indeed sent and authorised by the owner of the sender domain. 

DKIM affords the greatest assurance that the sender is who they say they are and gives email providers a way to track and hold senders accountable for the messages they’re sending. As a result, deliverability of these messages is greater and inbox placement is improved.

In all Keap implementations, we help you configure this correctly so your Keap App is authenticated.

What is SPF?

Sender Policy Framework (SPF) is a type of email security that identifies which mail servers are permitted to send emails on behalf of your domain. The purpose of an SPF record is to prevent spammers from sending messages with forged From addresses at your domain.

Although not mandatory, and in many ways outdated now that the more reliable DKIM approach is implemented, SPF can still improve email reputation and therefore deliverability.

We also help you review and where necessary, configure a SPF record.

What is DMARC?

Domain-based Message Authentication Reporting and Conformance (DMARC) is used to authenticate an email by aligning SPF and DKIM mechanisms. By having DMARC in place, you can fight business email compromise, phishing and spoofing.

DMARC allows all your emails from email addresses on your domain to be easily identified by recipient spam filters. DMARC tells email receivers to reject fake emails sent from your email addresses (spoofing), if they exist. But equally, it gives email receivers confidence to accept your legitimate emails.

Another way of looking at DMARC is that it replaces the “filter out bad mails” security model with a “filter in good emails” model. So it can improve your email deliverability and inbox placement.

A DMARC record is another text entry within your domain’s DNS.

Yep, it’s all very technical but don’t fret. We will detail what is required so your request to your IT representative or domain host provider is clear. Or we can help you make the changes on your domain.

Sync contacts between Prism & Keap

If you are a subscriber to leading equine platform Prism, then we have fully integrated your Keap App with your Prism portal.

Owners in Prism can be added to Keap as contacts. Likewise, selected contacts can be added into Prism as Owners. Thereafter, all contact records are automatically kept in sync between both systems.

Sync all new Owners from Prism to Keap

You do need to regularly sync owners from Prism to Keap. We recommend performing this sync as often as possible, or relative to how often you add owners and horses into your Prism account.

Click on the Prism logo in your Prism portal, then navigate to the CRM dashboard. Click the Sync with Keap button.

Any owner added manually into Prism will then be added into Keap.

For each active horse that exists in Prism, a corresponding tag will be created in Keap (in the ‘Horse’ tag category).

Each of those owners added to Keap receive a tag applied to their contact record to show which horses they own. However, you cannot see what share percentage a contact owns in each horse in Keap.

The integration also applies the Subscribed tag to those contacts in Keap, should you wish to request contacts to confirm their email address or send them any welcome emails from Keap.

Sync selected Contacts from Keap to Prism

Contacts in Keap can also be easily added into Prism as owners.

In your Keap account we have added a custom field called Sync With Prism. It is a YES/NO field.

By simply changing this field to YES, that contact will be added as an owner in your Prism portal within minutes.

You can update the Sync With Prism field to YES manually on a contact, or update many contacts in bulk, or update in an automation sequence after a contact places an order for a share in a horse (preferred). Speak to our implementation consultants about setting up that process.

What data is synchronised between Prism and Keap

Once owners in Prism are added to Keap as contacts, and Keap contacts are added to Prism as owners, the following data is constantly and immediately kept in sync between Prism and Keap.

As soon as any data changes in one system, the owner/contact data will update in the other system within minutes.

You can also choose 6 custom fields on contact records in Keap, to sync to Prism owner profiles (in addition to the standard contact details fields). This is very useful to be able to view the most important contact data in your Prism desktop or mobile app.

Manage contacts on Keap Mobile

When mobile, you can use the Keap Mobile App for iOS or Androis. Just search for Keap in the Apple Store or Google Play Store and manage your contacts in a similar way to how you manage them on the web. Learn about Keap Mobile.

However, we recommend accessing Keap via your browser (Google Chrome recommended). On your mobile, bookmark the same login page you use to login via the web. On mobile, the user interface is consistent with Keap on your desktop browser. Access Keap via your mobile browser.
