It’s tempting to treat your email list like a trophy – the bigger the number, the better you’re doing, right?

Not necessarily.

In 2026, the “blast and pray” method of sending emails to every contact in your mailing list is a fast track to the spam folder. Understanding list hygiene and optimal email frequency is the difference between email marketing campaigns that convert and ones that fails.

The hidden cost of unengaged and bounced subscribers

An unengaged contact is someone who hasn’t opened or clicked an email in some time – three months if you are emailing weekly, or perhaps six months if you email less regularly.

You might think keeping them on your mailing list is harmless, but they are actively weighing down your email marketing performance in two major ways:

  • Damaged Sender Reputation: Inbox providers (like Gmail and Microsoft) act as gatekeepers. If they see that a significant percentage of your email recipients consistently ignore your emails, they assume your content is low quality.
  • The “Spam” Spiral: Once your reputation takes a hit, your emails stop landing in the Primary inbox and start heading straight to Spam – even for your fans who actually do open your emails.

The same thing happens when you send emails to invalid or delinquent email addresses. A significant bounce rate on your email campaigns (say more than 0.1%), damages your sender reputation with inbox providers.

Clicks are worth more than opens

It’s no longer good enough to maintain a healthy open rate. Your click rates are being measured and used by inbox providers to more accurately assess your contacts’ engagement with your emails.

For several technical reasons we won’t attempt to answer in this article, open rates are becoming less reliable. Click rates are more important than ever. That means it’s critical you are emailing personalised content to your contacts – content they want to click and read.

Consistency Matters

It’s not just about who is on your list, but how often you email them with consistency and relevant content.

If you only email your list once every few months, your subscribers will forget who you are. When your name finally pops up in their inbox, they’re more likely to not open it – or worse, hit “Delete” or “Report Spam”. That’s if your email lands in their inbox at all. (See our earlier comment regarding unengaged contacts.)

Emailing your contact list consistency also helps identify unengaged contacts and bounced email addresses more frequently. That reduces the risk of high unengagement or bounce rates in each email campaign – and helps maintain a strong sender reputation with inbox providers.

So what are the golden rules to follow?

Spam prevention has evolved significantly – even since 2024. The success of each email campaign now relies heavily on your sender reputation with each inbox provider.

Follow these golden rules to give your email campaigns the best chance of success.

  • Consistent frequency. Choose your optimal frequency – weekly, fortnightly, monthly – and stay true to that policy (on average). It keeps you “top of mind” in your recipient’s email inboxes, prevents your list from decaying, and helps you more consistently maintain list hygiene.
  • Not too much and not too little. Regardless of your optimal frequency, send an email at least once per month to your contacts but not more than eight times per month (on average).
  • Vary your content. Complement your sales promotional emails with other insightful content your readers will want to read. Limiting your emails to only sales promotions is a sure way to degrade the value of your mailing list.
  • Personalise your content. Use an email preference centre to allow your contacts to tell you what types of content they want to receive – and don’t want to receive. Best to know this up front so you avoid sending content they are not going to read.
  • Regularly re-engage. As soon as a contact becomes unengaged (has not opened an email is three months), send a re-engagement email – or perhaps two. If the contact fails to open that email and take action – such as clicking to confirm they wish to stay on your list, updating their email preferences or unsubscribing – stop emailing them. No exemptions.
